Is a receipt proof of payment?
A genuine receipt issued by the seller can be strong evidence that the seller acknowledges receiving payment. But a receipt may not be the only evidence required for every tax, reimbursement, warranty, legal or audit purpose.
For US business records, IRS guidance lists receipts among supporting documents and also lists items such as paid bills, invoices, deposit slips, canceled checks and account/card records. It notes that a combination of documents may be needed to substantiate all elements of a purchase or expense.
Receipt vs bank statement
A receipt explains what the payment was for from the seller’s side.
A bank/card record can show that money moved through an account.
Together they can provide a clearer transaction trail than either document alone.
Receipt vs invoice
An invoice shows what was charged or owed. By itself, an unpaid invoice does not prove that payment occurred.
A receipt, paid status, bank record or processor confirmation can document the payment event.
What should a payment receipt include?
For a clear payment acknowledgement, include:
- Seller/business
- Customer/payer when relevant
- Receipt number
- Payment date
- Amount received
- What the payment relates to
- Invoice/order/reference when one exists
- Payment method
- Transaction reference when useful

Lost receipt: what should I do?
If the receipt came from another merchant, ask that merchant for a duplicate first. Do not create a new document and present it as if the merchant issued the original.
If a duplicate cannot be obtained, keep the other records you genuinely have and follow the policy of the organization reviewing the expense or claim.
FAQ
Is a screenshot of a bank transfer proof of payment?
It may show a transfer event, but whether it is accepted depends on the purpose and the information visible. A seller-issued receipt can add context about what was purchased.
Does an invoice prove payment?
Not necessarily. An invoice usually shows an amount due. A paid invoice plus payment evidence or a separate receipt is clearer.
Can I create my own proof of payment?
A seller/business can issue a receipt for a payment it actually received. A customer should not create a document and misrepresent it as a receipt issued by another merchant.
What if I need proof for taxes?
Use the records required by the relevant tax authority and your facts. A generated receipt is not a guarantee that a deduction or claim will be accepted.
